Founded in 1955, the Albert Einstein College of Medicine (Einstein) is one of the nation’s premier institutions for medical education, basic research and clinical investigation. A full-time faculty of some 2,000 conducts research, teaches, and delivers health care in every major biomedical specialty. The college has some 730 medical students, 193 Ph.D. students, 106 MD/Ph.D. students and 275 postdoctoral fellows.

 

Einstein’s major strength, in addition to training physicians and scientists, is its science. During fiscal year 2015, the faculty’s consistently high level of scientific achievement resulted in the awarding of more than $150 million in peer-reviewed grants from the National Institutes of Health (NIH).

POSITION RESPONSIBILITIES

  • Assist in the coordination of the department’s training grants          
    • Grant Application, Tables, Biosketches, relevant material.
    • Appointment and termination forms
    • Tracking of trainees from inception
    • Generate reports for funding agency.
    • Tracking Expenditures
    • Invite Speakers
    • Schedule seminars
    • Schedule quarterly meetings Faculty, Program Director, Trainees
  • Assist with second Year Medical School Course in Microbiology and Infectious Diseases               
    • Request and collate material from preceptors for: Lectures Series, Laboratory Sessions, Case discussion
    • Prepares schedules for the lectures, laboratory sessions and case discussion
    • Arrange transportation for outside lecturers
    • Assign students to room
    • Collect attendance sheets
    • Prepares tests
    • Records student evaluations
    • Prints manuals/materials for faculty
  • Assist with processing of volunteer applications as well as assist with general on-boarding
    • Prepare new hire’s personnel packet
    • Prepare volunteer’s form
    • Prepare Visa forms
    • Offer letter, appendices, visa form, housing requests, lab coats, keys, email address
  • Assist with the ID Website for both Campuses                                                                                   
    • Updates all necessary information
    • Establishes profiles and passwords
    • Inputs policy pages and changes
    • Updates hospital and fellows schedules
    • Program schedules, duty hours, and evaluations on New Innovation Website Montefiore
  • Answer telephones and provides appropriate information to callers, take messages and transfers calls;
  • Screen and route mail and documents; determine which to respond to or which to bring to supervisor's attention based on content of communication and knowledge of departmental programs and activities;
  • Maintains PI’s Information for grants
  • Assist ID Fellows
  • Tend to daily problems as they arise
  • Other related duties

QUALIFICATIONS

  • High School Diploma and 4+ years of secretarial experience preferred
  • Knowledgable in the use of Microsoft Word and Excel
  • Excellent written and oral communication skills including eye for detail and command of language and grammar
  • Should exude professionalism and positive attitude at all times and be adaptable in a rapidly changing work environment with competing priorities
