    Founded in 1955, the Albert Einstein College of Medicine (Einstein) is one of the nation’s premier institutions for medical education, basic research and clinical investigation. A full-time faculty of some 2,000 conducts research, teaches, and delivers health care in every major biomedical specialty. The college has some 730 medical students, 193 Ph.D. students, 106 MD/Ph.D. students and 275 postdoctoral fellows.

    The HR project coordinator provides a variety of responsible, confidential and complex administrative duties for the Vice President of Human Resources requiring a high degree of independent judgment and initiative. The HR Project Coordinator provides support services to the Vice President of Human Resources in the areas of administrative coordination, budget management, research, metrics, event planning, labor relations/negotiations and diversity.

    POSITION RESPONSIBILITIES

    • Provide professional and administrative support to the Vice President and ensure full office management, appropriate scheduling, oversees and completes all tasks to ensure the office is effectively represented and is meeting the demands of the Einstein community.
    • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner;
    • Manage correspondence, acknowledge receipt, and research and draft responses for VP;
    • Oversee coordination of committee meetings, scheduling, arrange for meeting locations, gather input and draft agenda, send confirmations, and ensure that minutes and meeting materials are received and distributed in a timely manner;
    • Gather input and manage HR department wide calendar of special events and annual communications, coordinate with other HR staff to ensure VP is appropriately scheduled and represented;
    • Assist VP to publish HR scorecard including collection of all input to scorecard and other metrics;
    • Responsible, in partnership with Employee Relations, for the planning and execution of all major HR recognition and engagement events; research and develop pipeline for new ideas for expansion of employee recognition opportunities. Responsible for managing all internal HR events including semi-annual retreat programs and monthly HR planning meetings.
    • Develop and maintain new archiving system for VP ensuring timely filing and retrieval of materials as required;
    • Handle all facilities requirements for the Belfer 12th floor and HR; responsible for HR procurement and handles all reimbursement requests and special arrangements, i.e., travel, for VP and HR leaders. Assist with budget preparation and monitoring.

    Diversity Responsibilities:

    • Assist with research and identification of diversity and inclusion best practices, policies and programs to implementation to attract, retain and promote a diverse and inclusive organization.
    • Coordinate events and handle special research projects related to the College’s Diversity activities including assessment and metrics. Works closely with Einstein committees and academic and student affairs offices of Diversity inclusion.
    • Assist with identifying diversity educational programming and training opportunities.
    • Track metrics for measuring diversity initiatives implemented and prepare quarterly reports to Einstein and Montefiore leadership.
    • Other duties as assigned.

    QUALIFICATIONS

    ·       Bachelor’s Degree or equivalent combination of education and related work experience;

    ·       5+ years experience supporting at the executive level;

    ·       Successful candidate will possess excellent writing skills and the ability to submit writing samples is required.

    ·       Must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office of diverse people and programs;

    ·       Must have ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient; a high level of professionalism and confidentiality is crucial to this role;

    ·       Must possess expert level of written and verbal communication skills, strong decision making ability, analytical skills and attention to detail are equally important;

    ·       Excellent calendar management skills, including the coordination of complex executive and committee meetings;

    ·       Experience assisting with the creation of PowerPoint presentations;

    ·       Must be proficient in MS Office, including Word, Excel, PowerPoint and Outlook and possess the ability to quickly learn new systems;

    ·       Prefer experience successfully creating and/or modifying processes and demonstrated creativity and commitment to improving programs and events.
