POSITION RESPONSIBILITIES

GENERAL DUTIES

  • Provide administrative support for clinical faculty inclusive of but not limited to, scheduling meetings, organizing interviews and events, managing calendars
  • Provide administrative support for ID Task Force(s) including scheduling meetings, managing calendars, information dissemination etc.
  • Answering phone, sorting mail, filing
  • Organize and execute all the division’s social events
  • Create and maintain the ID attending hospital schedule
  • Enter and maintain the hospital schedules in Qgenda
  • Processing check requests and travel reimbursement forms and additional miscellaneous forms,
  • Order office supplies as needed
  • Assists with coordinating the interview process for the fellowship program
  • Collects faculty dues
  • Coordinate and schedule faculty recruits
  • Organize the grand rounds schedule
  • East campus manager for Qgenda - including maintaining accuracy in lieu of changes, activating new faculty, and terminating departed faculty
  • Download monthly productivity reports for East Campus faculty and email to faculty each month (access will be granted for this)
  • Prepare paperwork to establish clinical trials funds
  • Assist with reconciliation of payments from clinical trials to MMC (access will be requested for SAP FIMM)
  • Assist with coordinating efforts for onboarding new East campus faculty (in collaboration with Clinical Administrator
  • Additional responsibilities as assigned

TRAINING GRANT COORDINATOR

  • Assists with preparation of Grant Application, Tables, Biosketches, relevant material.
  • Creates Appointment and termination forms
  • Tracking of trainees from inception to completion
  • Generate reports for funding agency as needed
  • Tracking grant Expenditures
  • Coordinate guest Speakers (travel, reimbursement, scheduling)
  • Schedule training seminars
  • Schedule quarterly meetings
  • Additional responsibilities as assigned

MEDICAL SCHOOL COURSE COORDINATOR

  • Request and collate material from preceptors for:
  • Lectures Series, Laboratory Sessions, Case discussion
  • Prepares schedules for the lectures, laboratory sessions and case discussion Arrange transportation for outside lecturers
  • Assign students to room, Collect attendance sheets, Prepares tests
  • Records student evaluations
  • Prints manuals/materials for faculty
  • Additional responsibilities as assigned

QUALIFICATIONS

  • High School Diploma and at least 5 years of administrative support experience is required. Equivalent combination of education and experience will also be considered.
  • Bachelor's degree preferred.
  • Experience with Qgenda and Canva is preferred
  • Previous experience in an academic institution of higher learning or hospital setting is also preferred. 

  • Proficiency in Microsoft Office Suite
